About BoatWizard Integration and Master Record

The YachtCloser / BoatWizard integration is designed to streamline and simplify the data entry process for our customers.  You can now create listing agreements, advertise vessels, generate sales, acceptance, and closing documents through one, easy to use platform.  Understanding the flow of information and how the integration works is key to saving you time and avoiding duplicate efforts.

What is the "Master Record"?

Where the inventory is created becomes the master record.  The master record is where you can add/edit details about the listing. Having YachtCloser as the master record is important because anytime you make a price or status change, BoatWizard will be updated as well.  This allows all the updates to stem from the administrative side of the business as events actually happen. For example, the boat will be transitioned to "Sold" after closing paperwork is signed and the deal is closed.  If the boat was created in BoatWizard, you would need to manually update price or status based on activities in YachtCloser.  NOTE:  If YachtCloser is the master record a green checkmark will display on the Current Inventory page next to Status, see the image below.

What if I created my boat in BoatWizard first but want YachtCloser to be the Master Record?

If the boat was already created in BoatWizard and you would like YachtCloser to become the Master record, please do the following:

Boat IS NOT on YachtCloser
  1. Use the Import from BoatWizard feature. See help article: How to import inventory from BoatWizard
  2. Set current listings on BoatWizard to Inactive.  WARNING: Before inactivating listings on BoatWizard, please check for any active "Enhanced Listing" campaigns.  You will need to re-activate these campaigns once the new copy of the vessel is published from YachtCloser to BoatWizard.
  3. Publish the newly added inventory from YachtCloser to BoatWizard.  See help article: How to publish inventory from YachtCloser to BoatWizard
  4. The boat published from YachtCloser will now be the master record; moving forward, YachtCloser will update the BoatWizard listing automatically.
Boat IS on YachtCloser
  1. Go to Inventory / Vessel page of the boat you would like to update and select the Connect to BoatWizard button at the bottom of the page.  If the boat is not found, make sure the MAKE and YEAR  match what you've entered in BoatWizard and the listing is active.
  2. If desired, update the YachtCloser listing with the advertising details from BoatWizard.  See help article:  How to merge/update existing listings on YachtCloser from BoatWizard
  3. Set current listing on BoatWizard to Inactive.  WARNING: Before inactivating listings on BoatWizard, please check for any active "Enhanced Listing" campaigns.  You will need to re-activate these campaigns once the new copy of the vessel is published from YachtCloser to BoatWizard.
  4. Publish the updated inventory from YachtCloser to BoatWizard.  See help article: How to publish inventory from YachtCloser to BoatWizard
  5. The boat published from YachtCloser will now be the master record; moving forward, YachtCloser will update the BoatWizard listing automatically.
